PREVISTAR CPS
This Privacy Policy describes how Previstar ("we", "us") collects, uses, and protects information in connection with the PREVISTAR CPS emergency-management platform, including the PREVISTAR CPS Planning add-in for Microsoft Word (together, the "Services"). It applies to the platform at summit-cps.com and affiliated regional deployments, and to the Word add-in wherever it is installed.
The Services are provided to government agencies and emergency-management organizations under contract. In operating them we process: account information (name, work email address, organization, role, and assigned region, provided by your organization's administrator); content you create (emergency plans, planning documents, uploaded reference documents, compliance results, comments, and activity history); and technical information (sign-in events, IP address, and application logs used for security and troubleshooting). The Word add-in processes the content of documents you choose to connect to the platform; it does not read other documents on your device.
We use this information solely to provide the Services: authenticating you, storing and versioning your planning documents, checking plans against selected compliance frameworks, generating draft content you explicitly request, and maintaining audit trails your organization requires. We do not sell personal information, and we do not use your content for advertising.
Some features you invoke — compliance checking, content generation, and document search — process the relevant document content using Microsoft Azure OpenAI and Azure AI Search services within our own Azure subscription. Your content is not used to train AI models, and is processed under Microsoft's enterprise data-protection terms for these services.
Content is stored in Microsoft Azure data centers. United States customers' data is hosted in United States regions; customers in other countries are hosted in regional deployments appropriate to their contracts. Data in transit is encrypted with TLS, and data at rest is encrypted by the underlying Azure services.
The PREVISTAR CPS Planning add-in signs you in with your existing CPS credentials. It stores a small connection setting inside documents you link to a plan (so the document can reconnect to that plan later) and transmits document content to the platform only when you take an explicit action such as saving a version, generating a blueprint, or registering headings. The add-in sets no advertising cookies and embeds no third-party analytics.
We retain content for as long as your organization's subscription requires it, including version history and audit records mandated for emergency-management documentation. When a contract ends, content is deleted or returned in accordance with its terms. You may request correction or deletion of your personal account information through your organization's administrator or by contacting us.
We share information only with subprocessors necessary to operate the Services (such as Microsoft Azure for hosting and email delivery providers for notifications), each bound by data-protection obligations — and with authorities where the law requires it.
